Moderator & Speaker
FAQs

Thank you for being a part of the Lifesavers Conference! We’re excited to have you share your expertise with the roadway safety community. Use the resources below to prepare for your workshop and make the most of your presenter experience.

Getting Started

General information about the conference and your role

All information about the Lifesavers Conference can be found in this website and by promotional emails from Lifesavers Conference. If you would like to receive those emails, please sign up for our mailing list in the footer at the bottom of this page.

The website’s Presenters page has information to assist in workshop planning and presentation preparation/guidelines. There you will find helpful documents such as the Moderator Checklist as well as a timeline of due dates for speaker tasks.

All speaker tasks/workshop details/deadlines will be conveyed to speakers via email from Tracy McClure and a track leader/track committee member.

This is where speakers and moderators enter information and complete tasks. You will be emailed a personalized access key and asked to complete your profile information (name, title, organization) that will appear in the conference mobile app and confirm your participation as a moderator and/or speaker. You have unlimited access to the site to complete these tasks and review workshop information.

The website’s “Presenters” page (click HERE) has important conference deadlines, including these specific to presenters:

    • (Date TBA): Apply for speaker travel expense support, if needed.
    • February 18, 2027:  Make hotel reservations.
    • February 2, 2027:  Request special A/V equipment if needed.
    • February 18, 2027:  Register for the conference
    • February 23, 2027:  Submit supplemental files for the Event Site & Mobile App

Before the conference:  download the conference mobile app (instructions will be on the Lifesavers Conference website’s “Home” page closer to the conference dates).

Details will be posted here closer to the conference dates.

Unfortunately, we do not allow pre-recorded or virtual presentations from speakers. Lifesavers feels that our attendees get more out of live, in person workshops, with Q&A and networking. If we allow one speaker to give a pre-recorded presentation, then we must allow all that request it.

When a speaker can’t attend, here are some options:

  • Is there someone else from your organization willing and available to attend and present on your behalf?
  • Is there someone already attending the conference that is well versed in your presentation that would be able to present on your behalf?
  • Is another speaker in the workshop comfortable enough to present for you/cover your content?

If not, it would be best to present at a future conference that you are physically able to attend.

Lifesavers does allow speaker replacements, however the decision needs to be approved by a Track Leader and Tracy McClure needs to be notified.

If you submitted a group proposal and were told that the entire group was accepted, then all speakers in your proposal will be invited to present in your workshop. If you were told that only one person from your group proposal may present, then you may not have additional presenters.

Lifesavers may have other presenters in your workshop (whether it be a panel, activity, or standard powerpoint presentation), but the planning committee will invite those speakers.

If you have questions not addressed on this page, contact Tracy McClure at mcclure@lifesaversconference.org or by phone at 215-970-4375.

Your Workshop

Details about scheduling, format, and logistics

The Track Leader or a Track Planning Committee member will contact you initially to confirm your availability, followed by an official Letter of Invitation from Tracy McClure (mcclure@lifesaversconference.org). The Letter of Invitation will include the date and time of your workshop(s). If you have a conflict, notify the Track Leader and Tracy. During planning, Tracy will email updates and reminders and will answer questions.

You can view workshop updates and the names/contact information of the moderator and co-presenters by logging into the Speaker Management Portal (link below under presenter resources).

We will have a variety of workshop formats, so please confirm with your workshop moderator how your specific presentation/workshop will be formatted. Attendees are primarily practitioners and are interested in evidence-based programs, initiatives, research findings, and best practices that they can easily implement in their respective states and/or communities. Tangible “takeaways” are key! Highly technical presentations are not recommended.

All workshops are 75 minutes, including time for Q&A.

Please submit your ADA requirements by February 2, 2027 via a task in the Speaker Management site or by emailing Tracy McClure.

The speaker management portal (link below under Presenter Resources) contains the names and contact information of the track leaders, moderator, and speakers in your workshop(s).

Sign into your account and click on the workshop title to view the workshop details.

The speaker management portal (link below under Presenter Resources) contains the name and contact information of your workshop moderator.

Sign into your account and click on the workshop title to view the workshop details. If you don’t see a moderator listed, we are still in the process of assigning one.

Lifesavers does not have a required/suggested powerpoint template for presentations. Speakers may use a template of their choosing that they consider professional and fitting for their presentation. See below about our recommended final slide.

Please include the Lifesavers provided final slide reminding attendees to review your presentation in the mobile app.  This image file will be emailed to you and available for download here closer to the conference.

Registration & Travel

Details about registration, hotels, & travel.

Yes, moderators and speakers must register for the conference for organizers to create your name badge and have accurate numbers for food functions and conference supplies. Registering before the conference expedites your check-in process when picking up your badge and materials. To register, go to the website’s “Registration” page (click HERE).

The registration fee for moderators is $650, however speakers receive a reduced registration fee of $450.

The speaker registration code was/will be emailed to you in your official letter of invitation from mcclure@lifesaversconference.org.

To apply it on the registration page, you’ll want to check the box that reads “Registration Code” and input the code. Click “next” and proceed with inputting your contact information. You do not need to input the code again at checkout as the reduced speaker fee should already be displayed for you.

Since our registration system and our speaker management system (where the tasks list show) aren’t connected, it won’t automatically check the “register for the conference” box for you. The task is there just to remind speakers that they need to register. If you have already received a registration confirmation, you may click on the registration task in your account and then click “complete task”. It will then bring you back to the tasks list and the registration task will be checked off for you.

Confirming your intent to participate is separate from registering for the conference. The email you received was an email from our Speaker Management system just reminding you to confirm your intent to participate for your workshop in your tasks lists.

Yes. Speakers with demonstrated need can apply for travel expense support to help defray the cost of the conference registration fee and hotel/travel expenses. More details and the link to the online application is on the website’s “Presenters” page (click HERE). The deadline to apply is (Date TBA), however if funding is still available after that date Lifesavers will accept additional applications. You will be notified of your approval status within three weeks of applying.

Note: Only speakers are eligible to receive travel expense support; Moderators are not eligible.

The terms and conditions state that speaker financial aid will be provided in the form of a reimbursement check, available on-site. Disbursement of funds must occur after all Lifesavers Conference commitments have been fulfilled and the conference has commenced. This is a stipulation of the federal funding Lifesavers Conference receives to provide the assistance.

Moderators and speakers are responsible for making their hotel and travel arrangements. Hotel reservations can be done on the website’s “Hotel/Travel” page (click HERE).

Note: Those that apply to receive speaker travel expense support are required to stay at a conference hotel under the Lifesavers room block.

Presentations, Files, & A/V

Guidelines for all things tech.

No, Lifesavers does not print out or distribute handouts or supplemental files at the workshops. Instead, PowerPoint presentations and supplemental files will be posted on the Lifesavers Conference mobile app before the conference for participant review and/or printout.  Speakers will be asked to upload documents via the Speaker Management Site by February 23, 2027 for posting on the Event Site and mobile app before the conference.

If a speaker wants to bring a print out for attendees, they may do so on their own.

Files are a priority for attendees and increase the value and impact of your presentation. Each speaker may upload one powerpoint file and/or one supplemental file into their account in the Lifesavers Speaker Management System. They may also email files to Tracy McClure.  (Please include your name and workshop title.)

The deadline for posting files on the mobile app before the conference is February 23, 2027.

Note: If you have multiple files that you want to include for attendees, please combine them into one PDF file and upload that as your supplemental file.

On-site: Yes, you can play videos and have animations on-site in your workshop.

File Upload: For uploading to the mobile app, it is recommended that you save your ppt as a pdf and see how it looks. How the file looks as a pdf is how the file will look in the mobile app. If there’s an image or animation that pops up over text, then it’s recommended to remove that or have it show up so it doesn’t cover anything else. If you have a video, you can still have it there so people know it was played, but we suggest including a link to the video so people can still view it.

Speakers can upload their own file to their individual account in the speaker management system so each presentation shows up under the speakers’ names in the workshop and also when attendees search for a speaker name in the mobile app. If a moderator wants to upload one file for the workshop as a whole under the moderator’s name they can do that as well, but ideally in addition to speakers uploading their own individually. If only the moderator does the one combined file, then it will only show up under the moderator’s name in the mobile app, so if someone searches for a specific speaker, no file will show up.

No. Bring your presentation on a USB drive to the conference. Lifesavers A/V technicians are onsite for assistance, but do not pre-load presentations on the Lifesavers provided laptops in workshop rooms.

  • Podium with wired microphone.
  • Head table with wireless handheld microphone(s) on stage. (Some workshops will not have a head table.)
  • LCD projector equipped with sound, screen, and clicker
  • One shared laptop with Internet access.

Notify your workshop moderator if other equipment is needed or if you will be using your own laptop. Moderators will submit requests for additional equipment by February 2, 2027 via a task in the Speaker Management site.

Note: Room setup requests, such as theatre style or round table or having a table/chairs on stage vs. not, are requested by the track leaders and need to be sent to Tracy McClure by November 9. 2026. Room setup requests can not be made by the moderator via the A/V task.

Moderators and speakers may use the Speaker Ready Room to meet with each other and review/test presentations before workshops.

The Speaker Ready Room is located in Room (TBA) of the Henry B. González Convention Center and it will be open during the following hours:

Saturday, 3/6: TBA

Sunday, 3/7: TBA

Monday, 3/8: TBA

Tuesday, 3/9: TBA
